  • Set a date: Aim for about 4–6 weeks before the due date. An ideal dare is around 28–32 weeks pregnant (around 7 months). This ensures they’re showing but still comfortable, it also gives them enough time to organize gifts and prepare the nursery before the baby arrives.
  • Choose a venue: Consider the mom-to-be’s home, a local restaurant, or a rented space. Remember to consider the season, guest count, and accessibility to a nearby bathroom for the mom-to-be.
  • Decide on a guest list: Consult with the parents-to-be on who to invite. They might want an intimate gathering, so it’s better to talk to the parents first.
  • Pick a theme: From “Twinkle Twinkle Little Star” to “Woodland Creatures.”
  • Set a realistic budget: Work backwards from your total budget to determine spending for each element. Remember to scale accordingly, you don’t need to invite the whole neighborhood.
  • Arrange for photos: Designate someone to take photos and videos throughout the event. Consider creating a shared digital album where guests can upload their pictures, ensuring no special moments are missed.

  • Size: Make sure it can comfortably accommodate your guest list
  • Location: Choose somewhere convenient for the majority of guests and especially the mom-to-be
  • Amenities: Does it have everything you need (kitchen, restrooms, parking)?
  • Budget: Don’t break the bank on the venue alone.
  • Include personalized touches: Incorporate elements that celebrate the parents-to-be, such as playing their favorite music, displaying their baby photos, or including family traditions in the celebration.
  • Create a weather contingency plan: If hosting outdoors or planning any outdoor elements, have a solid backup plan ready. This includes alternative indoor venues or tent rentals if needed.

Time is more precious than ever. That’s why the two-hour event sweet spot, a principle I’ve long advocated for parties, applies perfectly to baby showers too.

Here’s why a shorter celebration packs a bigger punch:

  • Energy Levels Stay High: A two-hour timeframe ensures the party maintains its vibrant atmosphere from start to finish. No mid-party lulls or guests checking their smart watches, wondering when it’s socially acceptable to leave.
  • Increased Attendance: Busy guests are more likely to RSVP ‘yes’ to a two-hour commitment. It’s long enough to be meaningful, but short enough to fit into packed schedules.
  • Quality Over Quantity: With limited time, you’ll focus on the most impactful activities. Every moment becomes more valuable and memorable.
  • Delegate responsibilities: Don’t try to handle everything alone. Assign specific tasks to reliable friends or family members, such as managing the guest book, coordinating games, or helping with setup and cleanup.

Create a thoughtful timeline: Most showers last 2–4 hours, I’d recommend 2 hours. Plan 15–20 minutes for arrival and mingling, followed by structured activities, food service, and gift opening (if doing so at the event). Build in buffer time between activities.

Here’s a suggested timeline for your two-hour baby shower:

2:00-2:15 – Arrival and mingling

2:15-2:30 – Welcome and icebreaker activity

2:30-3:00 – Games and activities

3:00-3:30 – Food and refreshments

3:30-3:50 – Gift opening (if the parents-to-be choose to do this)

3:50-4:00 – Thank yous and goodbyes

This schedule keeps things moving without feeling rushed, ensuring your guests stay engaged throughout the event.
